This position is in the Department of Anesthesiology. This position is for the Medical School Campus.
Essential Functions
Position coordinates office functions, programs and schedules, provides administrative services, and performs specialized/technical duties with minimum supervision. Position provides diversified administrative support for the Community Hospital ICU Program including direct support to the Program clinical and operations leaders and related tasks. Provides daily on-site administrative and receptionist support for the BJH/WUSM TeleICU Program.
**Essential Functions**:
1. Assists with scheduling interviews for candidates. Makes travel arrangements, prepares visit itineraries, and assists applicants in getting to all appointments during visit. Maintains tracking log of candidates.
2. Schedules meetings, arranges conference calls, makes travel arrangements and assists with travel expense reports. Maintains calendar of meetings, lectures and seminars for Program leaders as needed.
3. Assist with staffing related issues such as partnering with Human Resources for new hire paperwork, tracking all necessary new hire information and ongoing HR concerns from community staff. Manages other new hire orientation activities such as badges, lab coats, hospital credentials and compliance paperwork.
4. Maintains payroll tracking for time submissions for bi-weekly and monthly payroll.
5. Assists in supporting the schedules for the providers in the community for daily coverage of the multiple ICUs.
6. Assist with quarterly productivity and shift commitment reconciliation for community providers.
7. Assists in reviewing the patient electronic medical record notes and documentations to ensure the WUSM billing office have all necessary information.
8. Administers/prepares reports, minutes, correspondence, and administrative materials required for the direction of the department.
9. Other ad hoc duties as assigned.
**TeleMedicine Administrative Functions**:
1. Assists with visitors and eICU staff questions and needs.
2. Assists with location related activities such as access badges, the phone system, coordinate as contact for general maintenance of the building, notifies maintenance of problems, places work orders, and follows-up with housekeeping on the completion of tasks.
3. Other ad hoc duties as assigned.
Required Qualifications
Equivalent of Associate's degree with 2-4 years experience in administrative support.
Preferred Qualifications
* Experience in university/medical environment preferred.
* Prefer experienced user of Microsoft Office, particularly Word, Excel, and PowerPoint.
* Time management and organizational skills.
* Ability to effectively communicate verbally and in writing.
Salary Range
The hiring range for this position is $18.44 - $23.52 per hour.
